For Fingerprinting Services:

  • Full legal name

  • Date of birth

  • Social Security Number (if required by submitting agency)

  • Fingerprint biometric data

  • Purpose of fingerprinting

  • Submitting agency information

Payment Information:

  • Credit/debit card information (processed through secure third-party payment processors)

  • Billing address

  • Transaction history

Information Collected Automatically

Mobile Information Sharing (A2P 10DLC Compliance)

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties except as follows:

Permitted sharing to subcontractors in support services:

  • We may share mobile phone numbers with SMS service providers (such as Twilio, EZ Texting, or similar platforms) solely for the purpose of delivering appointment reminders, service updates, and communications you have consented to receive

  • These subcontractors are contractually obligated to:

    • Use your mobile information only to deliver messages on our behalf

    • Protect your information with appropriate security measures

    • Not use your mobile information for their own purposes

    • Not share your mobile information with any other parties

Your text messaging opt-in data (the fact that you consented to receive texts) will never be sold, rented, or shared with any third party for any purpose.

We may share your information only in the following additional limited circumstances:

  • RON Security: End-to-end encrypted sessions, tamper-evident recordings

  • Fingerprint Security: Secure transmission to agencies, immediate destruction of local copies

  • Access Controls: Limited access to personal information on need-to-know basis

  • Payment Security: PCI-DSS compliant payment processing

However, no method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

Data Retention

We retain your information for the following periods:

  • Notarial Journals: Minimum 10 years as required by state law

  • RON Audio-Visual Recordings: 10 years as required by state law

  • Fingerprint Records: Only until successful transmission to the requesting agency (typically 24-48 hours)

  • Financial Records: 7 years for tax and accounting purposes

  • SMS Opt-In Records: 5 years minimum for compliance documentation

  • General Business Records: As long as reasonably necessary for business purposes

After the retention period expires, we will securely destroy or anonymize your information.

Your Privacy Rights

Depending on your location, you may have the following rights:

Access and Correction

  • Request access to personal information we hold about you

  • Request correction of inaccurate or incomplete information

Deletion

  • Request deletion of your personal information (subject to legal retention requirements)

Opt-Out

Important Note: Due to legal requirements governing notarial records, we may not be able to delete certain information related to notarial acts even upon request. Fingerprinting services information is deleted immediately after agency submission.

SMS/Text Messaging Privacy

Consent and Use

By providing your mobile phone number and opting in to receive text messages, you consent to receive:

  • Transactional messages: Appointment confirmations, reminders, updates (based on your service appointments)

  • Marketing messages: Promotions, offers, business updates (only if you separately opt-in)

Your Rights

  • Opt-Out: Reply STOP to any message to immediately unsubscribe

  • Help: Reply HELP for assistance and contact information

  • Data Protection: Your mobile number and opt-in status will not be shared with third parties for marketing purposes

Message Frequency and Charges

  • Transactional messages: Frequency varies based on appointments

Remote Online Notarization (RON)

When using our remote online notarization services:

  • Sessions are recorded via audio and video as required by Oregon and Washington state law

  • Identity verification is performed using credential analysis and knowledge-based authentication

  • Recordings are securely stored for the required 10-year retention period

  • Third-party RON platforms (Blue Notary) may process your information; they maintain their own privacy policies and are required to comply with state RON laws

  • Your biometric data from identity verification is stored securely and not shared except as required by law

Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from minors without parental consent, except as required in the performance of notarial duties (for example, when notarizing documents for emancipated minors or with proper parental consent).

Third-Party Links and Services

Our website or communications may contain links to third-party websites or references to third-party services. We are not responsible for the privacy practices of these external sites. We encourage you to review their privacy policies before providing any information.
