  • Confirm federal vs. state. FBI background checks and federal records need a federal apostille; birth, marriage, and other state records need a state apostille. Not sure? We'll confirm it for you.
  • Get a certified copy, not a photocopy. Vital records must be state-issued certified copies (order at VitalChek). A regular photocopy will be rejected.
  • Don't notarize vital records. Birth, marriage, death, and divorce certificates go straight from the issuing agency to the state authority. Only non-vital documents (powers of attorney, affidavits) get notarized first.
  • Match the issuing state. Your document must be apostilled by the state that issued it — a Texas birth certificate is apostilled by Texas. We cover all 50 states.

  • Check your destination country. Hague Convention countries accept apostilles; others need embassy legalization. Tell us the country and we'll route it correctly.
  • Plan for your deadline. Oregon & Washington run 1–2 business days (VIP) up to about 2 weeks (Standard); federal runs 7–10 business days. Leave time for shipping and any translation.
  • Never laminate. Laminated documents get rejected because many countries can't verify the seal. Use a protective sleeve instead.
  • Ask about translation. Many countries require a certified translation after the apostille is attached — we coordinate that too.

State apostille FAQ

What is a state apostille?

It authenticates a document issued by a U.S. state, like a birth, marriage, death, or divorce certificate, so it is recognized in another country that belongs to the Hague Apostille Convention. The state authentication authority (usually the Secretary of State) issues it.

Which states do you cover?

All 50 states, plus the District of Columbia. Oregon and Washington are handled in-house; every other state is covered through our trusted courier team. Your document must be apostilled by the state that issued it, and we route it to the correct authority for you.

Which state apostilles my document?

The state that issued it. If your birth certificate is from New York, New York apostilles it, even if you live in Oregon today. Not sure which state issued yours? Just ask.

How is this different from an FBI apostille?

An FBI background check is a federal document, authenticated by the U.S. Department of State; a birth or marriage certificate is a state document, authenticated by that state. We handle both tracks. Federal apostilles are $350 for the first document and $200 for each additional, in 7-10 business days. Fingerprinting for the FBI check is done by our sister company, Oregon Fingerprinting.

How much does a state apostille cost?

For Oregon and Washington documents: Standard (about 10 business days) $250, Premium (4-5 business days) $350, White-Glove VIP (1-2 business days) $450, additional documents $150 each. Pricing and timelines outside Oregon and Washington vary; call (503) 489-8519 for a quick quote.

Do I need a translation?

Often, yes. Many countries require a certified translation of the apostilled record. Get the apostille first, then translate the full packet. We coordinate translation too, certified or standard, typically $50 to $75 per page.
